In this pack

Every document is verified on its own

Purchase orders

Buyer, supplier, ordered items, prices and totals.

  • Lines and tax add up to the order total
  • Requested delivery is not before the order date

Delivery notes

What was actually delivered, against which order.

  • Delivery date and items are present and readable

Invoices

Vendor, dates, totals, tax and every line item.

  • Lines add up to the subtotal, and subtotal plus tax equals the total
  • Due date is not before the invoice date
  • Vendor tax ID matches its country's format (EU VAT, GSTIN and more)

Across documents

Then they are checked against each other

A document can add up perfectly and still be wrong for the case. These checks compare what was extracted from different documents.

Three-way match

Invoice lines are matched to the purchase order and the delivery note by description, then compared on quantity and price.

Catches: The invoice bills 100 units at 2.50; the PO agreed 2.00 and only 80 units were delivered.

How it works

An invoice arrives for an order

  1. 1Add the PO, the delivery note and the invoice to one case.
  2. 2Each is read and verified on its own.
  3. 3The match runs as soon as all three are in, and re-runs if a reviewer corrects a value.
  4. 4Discrepancies are listed with the line they came from.

Checks flag what does not add up; they do not guarantee every value is correct. Flagged items are queued for a person with the source page highlighted, and the human review tool can be switched on or off for your organization.
